Front-of-House & Guest Experience

During my time shadowing the front desk at the resort, I was able to see first hand how
important this department is to the entire guest experience. The front desk truly acts as the
center of communication for the resort and connects many different departments together. They are usually the first people guests interact with and the ones guests go to when they need help. Because of this, they play a major role in shaping the first impression of the resort and making sure guests feel taken care of during their stay.

One thing that stood out to me the most was how much pressure front desk agents
handle on a daily basis. Many guests arrive tired from traveling or sometimes already frustrated, and some approach the desk with an attitude or complaints. Despite this, the front desk agents remain calm, professional, and patient. They listen to the guest’s concerns and try their best to find solutions quickly. I found it impressive how they maintained such a high level of professionalism even when dealing with difficult situations. Their ability to stay composed while helping guests is an important part of creating a positive guest experience.

Another thing I noticed during my shadowing experience was how closely the front desk
works with other departments throughout the resort. If a guest needs transportation to another part of the resort, the front desk agent quickly contacts the golf cart drivers. If a guest has an issue with their room, they immediately reach out to housekeeping or maintenance to resolve the problem. This constant communication between departments helps make the service feel seamless for guests. Even though guests may only interact directly with one employee, there are many departments working together behind the scenes to make sure their needs are met.

From a managerial perspective, it was also interesting to see how the front desk stays
organized and keeps track of guest information. The team keeps detailed notes in a physical
logbook while also entering information into an online system. Having both a written and digital system helps ensure that important details about guests, requests, or issues are not forgotten. It also allows team members on different shifts to stay informed about what is happening at the resort. This level of organization helps maintain consistency in service and allows staff to respond quickly to guest needs.

The concept of service design from the assigned Hospitality Net reading also relates to
what I observed at the front desk. The article explains how hospitality businesses intentionally design service systems in order to create positive and consistent guest experiences. During my shadowing experience, it was clear that many of the processes at the front desk were designed to make service more efficient and personalized. For example, the way they record guest requests and communicate with other departments helps ensure that guests receive quick assistance. These systems are important because they help increase guest satisfaction and can encourage guests to return to the resort in the future.

If I were managing the front desk department, one of my priorities would be continuing to
strengthen communication between departments. While the team already communicates well, improving technology systems that allow departments to share information even faster could make the service experience even smoother for guests. I would also continue focusing on staff training, especially in areas like handling difficult guests and maintaining professionalism under pressure. These skills are essential for front desk employees because they are constantly interacting with guests and representing the resort.

Overall, shadowing the front desk helped me understand how critical this department is
to the overall success of the resort. They act as the central hub that connects guests with many different services and departments. Their professionalism, organization, and communication play a huge role in creating a seamless and enjoyable experience for guests.
